Add a Caregiver

Give a caregiver access to the eMAR, daily tasks, and documentation.

Every person who touches a resident’s record should sign in as themselves — that’s what makes the audit trail meaningful. Adding a caregiver takes about a minute, and the role you choose determines exactly what they can see and do.

Step by step

    Open Manage Users

    From the dashboard, click “Manage Users” to open User Management.

    Click “Add User”

    The “Add New User” form opens.

    Enter their work email and a temporary password

    The email is their sign-in. Set a temporary password of at least eight characters — they can change it after their first sign-in. No invite email is sent; you share the credentials directly.

    Add their name and phone

    Optional, but this is what appears in the staff list and against everything they document.

    Choose the role — Caregiver

    Caregivers get the day-to-day work: the eMAR, daily ADL tasks, progress notes, and incident reporting.

    Create the user

    Click “Create User.” They appear in the list with a Caregiver badge, and the Caregivers counter goes up.

Why it matters

  • Role-based access keeps staff in their lane — caregivers get what they need for care delivery and nothing more.
  • Every medication pass, note, and incident is attributed to a named user, which is what an audit trail has to show at inspection.
  • Shared logins are the fastest way to lose a compliance argument; individual accounts take a minute to create.
