Make a Timesheet Correction

Fix a caregiver’s clock-in or clock-out — non-destructively, with a reason and an audit trail.

Time records aren’t always perfect — a caregiver forgets to clock out, or the wrong shift gets recorded. VentoFlo lets an admin correct a timesheet without erasing what was originally recorded: the originally clocked times are kept and shown, every change is written to the audit log with your name and reason, and the caregiver is notified to review it.

Step by step

    Open Hours & Overtime

    From the dashboard, click “Hours & Overtime.”

    Pick the workweek

    Set the date range to the week with the shift you need to fix; the caregivers who worked that week appear in the weekly grid.

    Open the caregiver’s timesheet

    Click the caregiver’s name to open their time records for that workweek.

    Edit the shift

    Click “Edit” on the record and adjust the clock-in or clock-out to the actual time.

    Give a reason

    A reason is required — e.g. “Caregiver forgot to clock out; scheduled shift ended at 3 PM.” It’s written to the audit log with your name.

    Save the correction

    Click “Save correction.” The record shows the change with the originally clocked time struck through and preserved, and the caregiver gets a notice to review it.

Why it matters

  • Time records feed payroll and overtime; a forgotten clock-out can create phantom overtime, and silently editing hours is how wage disputes start.
  • Corrections are non-destructive — the originally clocked time is always kept and shown, and every change is attributed to an admin with a reason.
  • Notifying the caregiver to confirm each change keeps both sides honest and builds a paper trail if it is ever questioned.
